This policy explains how 4LINK EASY MANAGEMENT, S.L.U. processes the personal data collected through the 4link.app website and the 4Link app (app.4link.app, which can also be installed on your phone as an app), in accordance with Regulation (EU) 2016/679 (GDPR) and Spanish Organic Law 3/2018 on the Protection of Personal Data and the Guarantee of Digital Rights (LOPDGDD).

2. Data we process on the website
The data you provide through the contact form, by email or by phone: your email address, the content of your message and, if you give them to us, your name, company, job title, phone number and number of sites.
We use it to:
- Respond to your request for information or a demo and manage the pre-contractual relationship. Legal basis: taking steps at the request of the data subject prior to entering into a contract (Art. 6(1)(b) GDPR) and, with regard to business contact details, the legitimate interest in business-to-business communication (Art. 6(1)(f) GDPR and Art. 19 LOPDGDD).
- Comply with legal obligations. Legal basis: Art. 6(1)(c) GDPR.
3. Data we process in the app
3.1 If you use the app as a user of a client company
The app is contracted by companies, which then register their teams. In that case, the data recorded in it (identification and access data, such as name, username and profile; tasks assigned and completed; photos, videos, audio recordings and comments you attach as evidence; records, audits and ratings) is processed on behalf of your company, which is the data controller.
4LINK EASY MANAGEMENT, S.L.U. acts as data processor, in accordance with Article 28 GDPR and the terms agreed with each client, and only processes that data to provide the contracted service and in line with the client’s instructions. To exercise your rights over that data, please contact your company; if you write to us instead, we will forward your request to it.
3.2 Data we process as controller
- Data of each client’s contact persons (name, job title, email address and phone number), to manage the contract, invoicing and support. Legal basis: performance of the contract (Art. 6(1)(b) GDPR) and legitimate interest in business-to-business communication (Art. 6(1)(f) GDPR and Art. 19 LOPDGDD).
- Technical access and usage data (date and time of access, device and error logs), needed to keep the service secure and running properly. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).
We do not make automated decisions about you or carry out profiling that produces legal effects concerning you.
4. Retention period
- Requests received through the website that do not lead to a business relationship: 12 months from the last contact.
- Clients and their contact persons: for as long as the relationship lasts and, thereafter, for the limitation periods of the applicable legal obligations.
- App data processed on behalf of clients: for the period set out in the contract with each client. When the service ends, the data is returned or deleted as agreed.
- Technical access and usage data: for no longer than is strictly necessary to ensure the security of the service.
5. Recipients
We do not disclose your data to third parties unless required by law. The providers of our technology services have access to it as data processors, under a contract that complies with Art. 28 GDPR:
- Microsoft: hosting of the website and the app (Microsoft Azure) and corporate email (Microsoft 365).
- Resend: delivery of messages sent through the contact form.
6. International transfers
App data is hosted in Microsoft Azure data centres located in the European Union. Microsoft and Resend are headquartered in the United States, so they may process data outside the European Economic Area. In such cases, the transfer is covered by a European Commission adequacy decision, such as the EU-U.S. Data Privacy Framework for participating companies, or by the standard contractual clauses approved by the Commission.
7. Your rights
You can exercise your rights of access, rectification, erasure, objection, restriction of processing and portability, and withdraw your consent where processing is based on it, by writing to info@4link.app or by post to Pol. Ind. Francolí, parc. 26, nave 3, 43006 Tarragona, stating which right you wish to exercise.
If you use the app as a user of a client company, please remember that the data you record in it is the responsibility of your company (section 3.1).
If you believe we have not handled your request properly, you can lodge a complaint with the Spanish Data Protection Agency (AEPD) (www.aepd.es).
8. Security
We apply appropriate technical and organisational measures to protect data against loss, misuse and unauthorised access.
9. Cookies
The 4link.app website does not use cookies. It only saves the language you choose in the language selector to your browser’s local storage, so that the website is shown in that language on your next visits. This is technical personalisation data that you request; it cannot be used to identify you and is exempt from consent under Article 22.2 of the LSSI-CE. You can delete it at any time from your browser settings.
The app only uses the technical cookies or local storage strictly necessary to start and maintain your session. These are exempt from consent under Article 22.2 of the LSSI-CE.
If in the future we introduce cookies that require your consent, we will ask for it before setting them and will update this policy.
10. Changes to this policy
We may update this policy when the processing we carry out changes. The date of the last update is shown at the top of this page.
